Acceptance of Terms
By downloading, installing, or using VoiceTrail ("the Service"), you agree to be bound by these Terms of Service. If you do not agree, do not use the Service. If you are using VoiceTrail on behalf of an organisation, you represent that you have the authority to bind that organisation to these Terms.
Service Description
VoiceTrail is a desktop-native AI meeting assistant that records, transcribes, and summarises your meetings. Audio is captured and, where possible, transcribed on your device without bots or cloud uploads. Certain features (cloud transcription, AI summaries) optionally use external services. We reserve the right to modify, suspend, or discontinue features at any time with reasonable notice.
Accounts & Registration
To use VoiceTrail you must create an account with a valid email address. You are responsible for maintaining the security of your authentication tokens and registered devices, and for all activity that occurs under your account. You must be at least 13 years old (or 16 in the EU) to create an account.
Acceptable Use
You agree not to use VoiceTrail to record conversations without the consent of all participants where required by law, to transmit illegal or harmful content, to reverse-engineer any proprietary components of the Service, or to resell the Service without our written authorisation. You are solely responsible for complying with all applicable recording consent laws in your jurisdiction.
Subscriptions & Billing
VoiceTrail is available on three plans. The Free plan includes a limited number of meetings per month with on-device transcription and a single device. The Pro plan adds unlimited meetings, cloud transcription, AI summaries, multi-device sync, and speaker identification. The Team plan adds shared workspaces, team management, and extended retention policies.
Paid plans are billed monthly or annually in advance and renew automatically. Refund requests should be submitted within 7 days of a charge. We may change pricing with 30 days' notice to existing subscribers.
Intellectual Property
VoiceTrail and its content, features, and functionality are owned by us and protected by applicable intellectual property laws. We grant you a limited, non-exclusive, non-transferable licence to use the Service during your subscription period. You retain full ownership of your meeting content and grant us a limited licence to process it solely to deliver the Service.
User Content
You are responsible for all content you create or process through VoiceTrail. You represent that you have the necessary rights and permissions to record and process the meetings you capture, and that your content does not violate any law or infringe third-party rights. We do not use your meeting content to train AI models or share it with third parties beyond what is described in our Privacy Policy.
Privacy
Your use of the Service is governed by our Privacy Policy, which is incorporated into these Terms by reference.
Third-Party Services
VoiceTrail integrates with third-party services including AssemblyAI (transcription) and OpenRouter (AI generation). Your use of these integrations is subject to their respective terms of service. If you connect Google Calendar, you additionally agree to Google's Terms of Service. We are not responsible for the availability or accuracy of third-party services.
Disclaimer of Warranties
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied. AI-generated content may contain errors — always review it before relying on it for important decisions.
Limitation of Liability
To the maximum extent permitted by law, VoiceTrail shall not be liable for any indirect, incidental, or consequential damages arising from your use of the Service. Our total aggregate liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.
Termination
You may close your account at any time by contacting [email protected]. We may suspend or terminate your account if you violate these Terms. Data deletion follows the schedule described in our Privacy Policy.
Changes to These Terms
We may revise these Terms at any time. We will notify you of material changes at least 14 days before they take effect. Continued use of the Service after changes constitutes your acceptance of the new Terms.
Governing Law
These Terms are governed by and construed in accordance with applicable law. Any disputes shall be resolved through good-faith negotiation before formal proceedings.
